Registration and Payment

The deposit is due at booking. The balance is due 60 days prior to the first day of the trip.  

Payment Plan Option

Should you need to work out a payment plan, then please contact Kelly directly - kelly@travelsouly.com. Travel Souly, LLC accepts payments through PayPal and/ or Venmo. The full payment will be due 60 days prior to the first day of your trip. If full payment is not made by this time, then Travel Souly, LLC reserves the right to retain any deposits made and will release your spot.

Price

The price includes hotel accommodations, tours, excursions, entrance fees, drivers, and most tips. Excluded in the price are the cost for flights, some meals unless otherwise stated, extra charges at the hotel, additional tours / excursions, tips for baggage handlers and hotel cleaning service. The price for the trip is based on current rates of exchange, fees, and taxes. Travel Souly, LLC reserves the right to increase tour prices to cover any unanticipated increase in costs, fees, and taxes due to fluctuations in foreign exchange markets and tax increases. The cost may change should the traveler need to change the dates of her trip, whether it be longer or shorter. The traveler must work through Travel Souly, LLC to change the dates. Travel Souly, LLC is not responsible for any additional expenses including, but not limited to obtaining visas, getting vaccinations, adding travel insurance, and booking flights.

Referral Program

Travel Souly, LLC will give $100 USD to anyone who refers a traveler. The traveler must list or mention the person referring them at the time of booking. The $100 USD will be paid after the traveler attends the trip. If the referral joins the traveler on a trip, then the traveler will get a $100 discount on her trip. If the referral cancels, then the $100 discount will be voided and owed back to Travel Souly.

Accommodation

Accommodation is included in the price. Travel Souly, LLC reserves rooms at 4 or 5-star hotels. Each traveler will have her own room and private bathroom. Hotels on US based trips might be 3-star depending on the destination and price gouging. If a tour requires an overnight stay in a high-end B&B, then the traveler will still have her own room. The rooms will be fully paid prior to the traveler's arrival. The traveler will have to give her credit card to the hotels at check-in for incidentals and any additional charges. Accommodation on adventure trips will most likely be shared. Depending on the trip, it can be a shared lodge on a mountain, a large tent while camping on safari, or a shared room at a house or hotel. Some of these adventure trips may have 3-star hotels, but they will be the nicest accommodations in the area.

Air Transportation

Flights are not included in the price provided by Travel Souly, LLC. The traveler is responsible for booking her own flights as well as the cost of airfare. Prices provided by the airlines are always subject to change. The traveler is responsible for providing her flight itinerary to Travel Souly, LLC at least 60 days prior to the first day of the trip. If the trip is being booked within 60 days prior to the first day of the trip, then the traveler must submit the flight itinerary with the payment. Travel Souly, LLC is not responsible for any additional charges incurred by the airlines. Please refer to the airline's website for all rules and regulations. If a trip is cancelled, it is the traveler's responsibility to cancel flights for refund/ airline credit.

Insurance

Travel medical insurance is required for all international trips, and proof of this insurance must be provided to Travel Souly, LLC at least 60 days prior to the first day of the trip. Full travel insurance is required for adventure trips. The traveler is responsible for deciding whether or not she would like to add airline insurance to her flights or full trip insurance through a company such as Alianz. There are many rules and regulations for these types of insurance, and the traveler is responsible for understanding these rules and regulations prior to insuring her trip. Further, in a situation when the flights and/ or trip is canceled, it is the traveler's responsibility to work directly with the insurance company. Insurance is not required for travel with Travel Souly, LLC, nor does it need to be provided to Travel Souly, LLC. Travel Souly, LLC is not responsible for the traveler's health, safety, well-being, or any other liabilities during any trip. Further, the traveler understands this and agrees that she is 100% responsible for herself, her safety, and own well-being. The traveler agrees to never pursue legal action against Travel Souly, LLC. 

Passports and Visas

Valid passports are required for travel to all international destinations. The traveler is responsible to ensure her passport is valid for at least 6 months after the return date of your trip. Travel Souly, LLC will provide details for passports and visa requirements for each destination. Please double check with the appropriate consulate and/or embassy for the latest visa requirements. The traveler is responsible for any costs associated with passports and visas. The traveler must provide a copy of her passport and visa (if required) to Kelly (kelly@travelsouly.com) at least one week prior to the first date of travel. Kelly will keep the copies of everyone’s passport and visas with her at all times on the trip.

Changes to Itineraries

Itineraries are subject to change at any time due to unforeseen circumstances beyond the control of Travel Souly, LLC. Travel Souly, LLC reserves the right to cancel, delay, or reschedule any tour prior to departure. Every effort will be made to operate tours as planned, but if alterations to the itinerary are made, then you will be notified immediately of such change. If you do not like the change and decide to opt out, then you will be refunded for that particular change. Should the traveler decide to opt out of an already scheduled tour or activity, then Travel Souly, LLC will try its best to get a refund for the traveler. A refund is not guaranteed as it is dependent upon the rules and regulations provided by the company for that particular tour or activity. Further, if for any reason a traveler needs to go to the hospital, then that will take precedence for the travel leader over the planned activity for the day. The group may continue on with the day as planned, but the travel leader will accompany the traveler to the hospital and will stay with her until everything is sorted. The travel leader will meet up with the group upon their return to the hotel. In the event that travelers are moving slowly because of an injury, then the timing might be changed to give that traveler a reasonable amount of time to get herself together.

Authority on Tours

Travel may be provided through various modes of transportation. Travel Souly, LLC will give the traveler a meeting time for each tour, and the traveler is expected to be present on time. Travel Souly, LLC reserves the right to carry on without the traveler if she is not on time. Travel Souly, LLC is not responsible for any additional transportation costs that may arise. Travel Souly, LLC is not responsible for a traveler during the time in which the traveler may be separated from the group. All trips are run by a group leader, and she will accompany you on all tours. Decisions made by the group leader are final on all matters. Travelers must respect the well-being and mobility of the group. Travelers must at all times comply with the laws, customs, foreign exchange, and drug regulations of all countries visited. Failure to comply will result in early termination of your trip. Early termination of a trip will result in being banned from all future trips with Travel Souly, LLC. Further, if you already have a future trip booked with Travel Souly, LLC, then you will receive a full refund less any non-recoverable costs for that future trip. 

What to Expect

The group is only open to women. Most are traveling completely on their own, and others may be with a friend or two. Everyone arrives and gets settled. Then the group will meet for a meal to get to know one another followed. Tours will begin on the second day, and the itinerary will be action packed for the remainder of the trip. You may opt out of any tours you do not wish to attend. If you would like to opt out, then you must notify Travel Souly, LLC at least 10 days before arriving at the destination. There may be one or two days of leisure built in, which will be dependent upon the length of the trip.

Only One Rule

Absolutely no political conversations. Not everyone shares the same opinion, and it’s very rare a political discussion ends well. This is a vacation, and we want to keep the vibe positive and fun. Please leave politics at home.

Photography

Travel Souly, LLC reserves the right to take photographs for promotional purposes. When booking a trip with Travel Souly, LLC, travelers agree to allow their images to be used in such photographs. Travelers who do not want their photos used for promotional reasons must state so on their questionnaire. Feel free to ask your group leader to take plenty of photos of you with your camera throughout your trip. After returning from the trip, Travel Souly will share an album with all photos taken. All travelers will be able to share their photos as well.

Medical Vaccinations

Some destinations will require vaccinations prior to your arrival. It is the traveler's responsibility to meet with a doctor to get all the necessary vaccinations. Be mindful of allowing enough time to get these vaccinations as some are a series of shots or pills over a few weeks’ time.

COVID-19

Covid-19 regulations can change at any moment, and it is the traveler’s responsibility to ensure they meet all Covid-19 requirements for every destination.

Cancellation Policy

COVID-19

- If the destination is deemed unsafe, and they are suggesting travelers should not visit, then the trip will be canceled for everyone. You will receive a full refund including the non-refundable deposit.

- If you need to cancel because you no longer want to go on the trip because of Covid, then the normal cancellation policy below will apply unless you show a positive test result. If you test positive and want a full refund including the non-refundable deposit, then the result must be forwarded to me from the medical provider’s original email. The test result must be in the window in which it would prevent you from attending the trip.

Canceled by the traveler...

Cancellation fees may apply. In circumstances when the traveler cancels due to external events outside reasonable control, then refunds will be given minus the non-refundable service fee of $350 USD and any other unrecoverable costs. An email must be sent to Travel Souly, LLC explaining the reason, and proof must be provided for that said reason. For example, your flights are canceled and you will not be able to get to the destination. Then you will need to send an email to kelly@travelsouly.com stating that your flights were canceled along with proof of the cancellation from the airline. In a circumstance of a flight cancellation, I would highly suggest getting on the next best flight as most hotels and tours have very strict refund policies especially within a 24-hour period.

Canceling the trip more than 60 days prior to the first day of your trip will result in a full refund less the non-refundable service fee of $350 USD. If you cancel the trip after 60 days prior to the first day of your trip, then Travel Souly, LLC will make every effort to get a full refund minus the non-refundable service fee of $350 USD. The refund amount will be dependent upon the terms set by the hotel, ground transportation companies, tour companies, activities booked, and restaurants if paid for in advance, etc.

Canceled by Travel Souly, LLC...

Travel Souly, LLC may cancel a trip at any time prior to departure for reasons that would negatively affect the trip including, but not limited to threats of terrorism, extreme weather conditions, natural disasters, and travel warnings issued by the government. If Travel Souly, LLC cancels your trip, then you will receive a full refund including the non-refundable deposit of $350 USD. The traveler is fully responsible for canceling her flights when a trip is canceled. Additionally, there is a lot of uncertainty and people are hesitant to book travel right now. If there are less than 3 travelers on a trip as we approach the balance due date, then Travel Souly will cancel the trip, and you will receive a full refund including the non-refundable deposit.

Limits on Responsibility

Travel Souly, LLC acts solely as a travel organizer for the traveler with respect to all ground transportation, hotel bookings, and tour arrangements. Travel Souly, LLC will be using 3rd party vendors for such reservations, and will not be held responsible for any decisions made by the third-party vendor to change or cancel a reservation. Further, Travel Souly, LLC is not responsible for any accidents that may occur as a result of the third-party vendor. The traveler is 100% responsible for herself. Travel Souly, LLC exercises all reasonable care possible to ensure the traveler’s safety and satisfaction, but Travel Souly, LLC neither assumes nor bears any responsibility or liability for any injury, death, damage, loss, accident, delay, or irregularity arising in connection with the services of any form of transportation affecting the traveler while on a trip. Travel Souly, LLC is not responsible for damages, additional expenses, or any other losses due to cancellation, delay or other changes in air travel or other services. Travel Souly, LLC does not own or operate any entity providing goods or services. Travel Souly, LLC purchases hotel accommodations, ground transportation, and other services from various independent suppliers. All such persons and entities are independent contractors and not a responsibility of Travel Souly, LLC.

Risks: There are certain inherent risks in adventure travel. The traveler is responsible for educating herself of these risks, and takes full responsibility for herself.  

Travel Advisories/Warnings: The traveler is responsible for educating herself with the most current travel advisories and warnings. Please refer to the U. S. State Department’s travel website at www.travel.state.gov/ or call 1-888-407- 4747.

Travelers Representations: A traveler with a disability or other health related conditions will not partake in tours that could create a hazard to herself or other members of the tour. Travel Souly, LLC reserves the right to remove from the trip, at her sole expense, anyone whose condition is such that she could create a hazard to herself or others, or otherwise impact the enjoyment of other travelers. Travel Souly, LLC reserves the right to decline to accept anyone on a trip.

Dispute Resolution

If a dispute arises from or relates to this contract or the breach thereof, and if the dispute cannot be settled through direct discussions, the parties agree to endeavor first to settle the dispute by mediation administered by New York State Law. The parties further agree that any unresolved controversy or claim arising out of or relating to this contract, or breach thereof, shall be settled by arbitration administered by New York State Law and judgment on the award rendered by the arbitrator(s) may be entered in a New York State court having jurisdiction thereof. By booking a spot on a trip, you are agreeing to all terms and conditions. You will be required to sign this contract after you book your spot on a trip.
